Verifying Transactions

There are several options available for viewing details about transactions that affect your Advantage accounts. The main ledger which shows all transaction detail is the On-Line General Ledger Inquiry. There is a second ledger, the Real-Time General Ledger Inquiry, which shows identical transaction information that is organized differently. A third option which is not a ledger but which contains detailed information by transaction is the Expense Budget Detail Inquiry. All three of these options can be used to verify when a transaction occurred and what its effect was on the related accounts.



The On-Line General Ledger Inquiry (OLGL and OLG2)

The OLGL and OLG2 ledgers provide a complete year-to-date accounting history of transactions which occur against any account. They are sorted by fiscal year, then by fund, agency, org, sub-org, and object code or revenue source. The OLG2 ledger is actually the second part of the OLGL and shows additional transaction information by line. This ledger contains information on transactions which posted the previous business day; it is updated with current day transactions during the Advantage nightly cycle. The Real Time General Ledger Inquiry (LDGR and LDG2)

The LDGR and LDG2 ledgers also provide a complete year-to-date accounting history of transactions which occur against any account. The LDGR is sorted by account first, then by object or revenue source code, account type, and accounting period. This ledger is useful when you wish to search only for specific transactions which occurred in a given accounting period. The LDG2 also shows a grand total of transaction dollar amounts by account type, year-to-date, in its Entity Total field. The LDG2 ledger is the second part of the LDGR and shows additional transaction information by line. Like the OLGL/OLG2, this ledger contains information on transactions which posted the previous business day; it is updated with current day transactions during the Advantage nightly cycle. The Expense Budget Detail Inquiry (EXPD)

The EXPD is a table which shows pre-encumbrance, encumbrance, and expenditure transactions by fiscal year, agency/org, and object code. Transactions are shown year-to-date for a particular account type, with the oldest transactions displayed first. This table is helpful for searching for all transactions under a given object code; transactions are not broken down by sub-object code or sub-organization code however. The EXPD contains information on transactions which posted the previous business day; it is updated with current day transactions during the Advantage nightly cycle.
